Library Meeting Room
December 9, 2014
There was no public comment.
The meeting was called to order at 6:03 PM by Kathy Aney, Board Chair. In attendance were Kathy Aney, Brianna Earlley, David Burns, Cheryl Pearce, Will Perkinson, and John Brenne, Mayor’s Representative. Staff: Mary Finney, Interim Director
Will Perkinson moved and David Burns seconded to approve the November minutes as written.
There were no modifications to the agenda.
REPORTS
Interim Director’s report: Mary Finney presented the Director’s Report which shows a continued decline in circulation. Program attendance was the only area to increase. November is a shorter month due to Veteran’s Day and Thanksgiving closures. The library was closed one day due to icy conditions. Library staff is looking at ways to bring the numbers up; including weeding the collection so it is more appealing, purchasing more new items. Generally upgrading the look will be on the agenda also. Adjustments of areas to encourage small group seating will be studied.
The first Friday of the month, the library staff went to Umatilla for the Umatilla County Special Library District in-service. Keynote speaker was Penny Hummel from the Portland area who discussed marketing the library. Board expressed interest in having someone discuss marketing at the board’s retreat.
Fine Forgiveness Week generated a lot of donations for the Warming Station. In all $13.88 in fines were forgiven for 5 individuals. The week was very icy, the number of visitors to the Library were fewer. The Warming Station is quite appreciative none the less.
Weather played havoc with two programs. The Teen Council’s Dr. Who Trivia Night was cancelled due to the weather. And, attendance at the Rumble in the Jungle children’s fund raiser was lower than expected. ‘Rumble’ was a fund raiser for children’s library services which we will try again next year with the co-sponsor, The RAC.
Speaking of fundraisers, Interim Assistant Director, Jennifer Furuyama has made arrangements to sell the literary themed necklaces and bracelets at local holiday bazaars. The Teen Advisory Council will be on hand to help. So many people expressed disappointment at its cancellation that the Teen Council will also be rescheduling The Trivia Night in the spring.
OLD BUSINESS
EDGE Initiative: Finney reported that the EDGE Initiative staff is in the process of compiling the information. Finney will bring reports to the board as they are developed.
Retreat Committee Report: David Burns reported that the Retreat Committee met. It was suggested that we have Mayor Houk discuss the state of the City and promotion plans, Pendleton Friends of the Library give a Foundation committee report, and as a keynote, Mary will contact the Mid-Columbia Libraries for a person/persons to give a talk about their marketing plan and its development. We are planning the retreat for February 7th. The location has not been determined.
NEW BUSINESS
2015 Survey: Finney reported that it was time to set up a committee to work on the annual survey. Brianna Earlley and Kathy Aney agreed to be that committee with input from Will Perkinson. They will have a draft survey to present at the January meeting. A decision needs to be made as Finney will need to get the survey printed before mid-February. The survey will be in the February water bills with a return by date of March 31.
Board member recruitment: Finney reported that the Mayor had spoken with her about the replacement of Council Representative Jane Hill. He will be announcing which council member he will be moving to the Board.
A tour including the proposed Maker Space area and the City Hall basement storage areas was next on the agenda. It was decided to end the meeting at this point as some members were familiar with the areas and needed to leave.
