City of Pendleton Public Library Library Board Minutes Library Meeting Room
October 13, 2015
In attendance: Cheryl Pearce, Vice-Chair, Brianna Earlley, David Burns, John Thomas, Karen Willis, and McKennon McDonald, Council Representative. Staff: Mary Finney, Director
Public Comment: There was no public comment.
Call to Order: Vice-Chair, Cheryl Pearce, called the meeting to order at 6:00 pm.
Review Minutes: McKennon McDonald moved to approve the August minutes. John Thomas seconded. Motion passed.
Modifications to agenda: There were no modifications to the agenda.
REPORTS
Board Chair: No report
Director:
Director, Mary Finney reported that while still declining, the circulation numbers are only 1% below 2014 levels. Program attendance is increasing as are interlibrary loan requests.
Teen council is working on a movie night. They had discussed doing a sardine event. That is a form of hide and seek, but the person who is ‘it’ hides in a place which is secluded, but large enough for several people to fit in. The one who is out is the last one to find the group. Although there was lots of interest, it was difficult to find a evening when they could do this without impacting the evening cleaning crew.
Finney mentioned that Heather Culley has added a portion on the check-out receipts which alerts the patron to the total they saved by using the library. Those in the meeting who had received a receipt recently were impressed with that addition.
Much of her report will be touched on during the remainder of the meeting.
OLD BUSINESS:
Wildhorse Foundation technology grant: The grant for $8,.891.93 from the Wildhorse Foundation was awarded. We have purchased the AWE Afterschool Edge computer. It is up and running in the Children’s area. We also have purchased the iPads for use as online patron access stations in areas where it is difficult to place a larger computer. The Storyboard will be ordered when the chaldboard that is in the Children’s Area is removed. Since the board and the trim were both glued to the wall, there will most likely be damage to the drywall. The drywall will have to be replaced. The maintenance crew will look into that as soon as they have time.
Foundation fundraising workshop: Finney reminded the board of the workshop on fundraising and foundation development which scheduled for October 24th at the Tigard Library. If any board members are interested in attending, there still is room. This program should be immensely helpful to the Pendleton Friends of the Library Foundation committee.
NEW BUSINESS:
Local and Library District staff trainings: Finney reported that the staff have been taking part in various workshops and webinars. Finding good, economical training opportunities is important for the staff and beneficial to the library.
ALSP report to the Library District: Finney has completed and presented the Umatilla County Special Library District 2014-15 Annual Service Plan report. The three areas library staff reported on were children’s services, technology, and fundraising. Staff has worked diligently to coordinate with local non-profits, business, and public and tribal schools. The Eastern Oregon Children’s Museum has been a very willing partner in programs and activities. The most memorable was the program in Roy Raley park building castles out of cardboard boxes. The kids loved the experience and the project was very affordable for EOCM and the library. Having completed the Impact Survey, staff is working on the EDGE initiative to formulate a technology plan. The PFOL Foundation is in process of enlarging their committee and gleaning information from other libraries to augment their processes and procedures. The workshop on the 24th is an example of one of the actions they are taking. The report was emailed to all board members.
2015 State Report: Finney has completed and submitted the library’s report to the State Library. The State Report will be scrutinized by State Library staff for possible errors or omissions and then forwarded to the federal government for inclusion in the database of U.S. libraries. These reports are available to be seen online, and a copy was emailed to all board members.
Annual Board Retreat: Finney reported that is it time to begin planning for the annual board retreat. Historically, the retreat was held in January or February. David Burns and John Thomas volunteered to be on the planning committee.
Other?: Finney talked about the programs which were coming up. October 17th, there is an Oregon Humanities facilitated program, Talking about Dying, which gives attendees a chance to tell their stories about how death has impacted then and to discuss plans which they might have made. It will be held in the Vert Club Room. Finney talked about Food4Fines week (Oct 19-24) where patrons can bring in a can of food to pay a dollar in fines. Up to $5 in fines per card can be paid with a can of food. The donations will be given to Helping Hand. If anyone wants to make a donation, they certainly can do so. On October 29th, Bonnie Olin will be coming in to present a program on her book, Owyhee River Journal, which is a journal she kept of several trips on the river with her husband combined with photos he took. The Planning Department has developed a survey to ask citizens what methods of transportation they use, what they would like to have available, and additions they would like the city to consider making to the transportation plan. The library was asked to have paper surveys available at the desk. We will do so.
